What we collect when you talk to us about Medicare, what we do with it, and — the part that matters most in this business — what we will never do with it.

This Privacy Policy explains how Clearview Medicare Advisers LLC ("Clearview," "we," "us," "our") collects, uses, stores and protects the personal information of individuals who interact with our website, services and communication channels. We are an insurance producer licensed in Ohio, Kentucky, Indiana. By using our services you consent to the practices described in this policy.
We do not sell, rent or share your information with anyone for their marketing. Not your telephone number, not your Medicare number, not the fact that you are turning 65.
That matters more here than in most businesses. Lists of people approaching Medicare eligibility are actively bought and sold, and it is why so many households receive forty pieces of mail and a dozen telephone calls each autumn. We do not participate in that market in any direction — we do not buy those lists and we do not sell into them.
This policy covers this website and the advisory services we provide. It does not govern the insurance companies whose plans we place — each issues its own privacy notice, and once you are enrolled, that company's notice governs the information it holds about you. Medicare itself also publishes its own notice of privacy practices.
Information We Collect
What you tell us
- Contact details — name, address, telephone number, email, and your county, which determines which plans are even available to you.
- Date of birth — because eligibility and enrollment windows run from it.
- Your Medicare number — only when it is needed to complete an enrollment, and only when you give it to us directly. We never ask for it by email or text.
- Your medication list — names, doses and how often, plus the pharmacy you use. This is the single most useful thing you give us and it is health information.
- Your doctors — the practices and specialists you want to keep.
- Existing coverage — current plan, employer or union coverage, VA benefits, Medicaid status.
- Income indications — only where you ask us to check whether you qualify for Extra Help or a Medicare Savings Program. We do not need statements or tax returns.
Health information, and why we treat it as the sensitive part
Your medication list and your doctors are health information. We collect them because a Medicare plan cannot honestly be recommended without them — a plan is chosen by whether your drugs are on its formulary and your doctors are in its network, and nothing else comes close in importance.
We hold that information under restricted access, transmit it encrypted, and disclose it only to the insurance companies necessary to quote and place your coverage. It is never used for marketing, never aggregated into any product, and never shared with anyone selling anything else.
Please do not email or text your Medicare number, and do not put it in a web form. Read it to us over the telephone or bring the card in. No legitimate agency will ask for it any other way.
Collected automatically
When you visit this site we may collect your IP address, browser and device type, referring page and pages viewed, through server logs and privacy-respecting analytics. We do not use it to identify you. We do not process payments through this website and do not hold card details.
How We Use Your Information
- To compare plans against your medications, your doctors and your county.
- To complete an enrollment you have asked us to complete.
- To re-run your medication list each autumn against the coming year's plans.
- To help with a denied claim, an appeal, or a letter you do not understand.
- To tell you about Extra Help or a Medicare Savings Program where you may qualify.
- To contact you about your own coverage — not to market other products to you.
- To meet our legal, regulatory and licensing obligations, including record retention required by CMS and by the insurance departments of Ohio, Kentucky, Indiana.
Sharing and Disclosure
Strict no-sale policy
Clearview Medicare Advisers LLC does not sell personal information or mobile data to third parties. We do not disclose your information to lead buyers, data brokers, advertising networks or other agencies, and we do not permit any third party to market to you using details you gave us.
We disclose information only to:
- Insurance companies — to quote and place your coverage. This is the purpose for which you give it to us.
- CMS and Medicare — where an enrollment or a filing requires it.
- Service providers — our agency management system, document hosting and the vendors operating this website, each under confidentiality obligations and each prohibited from using your data for their own purposes.
- Regulators — where required by law, subpoena, a CMS audit or a state insurance department examination.
- Someone you authorise — a spouse, an adult child, a person with power of attorney, but only where you have told us in writing.
Text Messages
If you give express written consent, we use your mobile number for the limited purposes described in our Mobile Terms — principally appointment reminders. We record the consent language, date, time and IP address in order to evidence compliance with the Telephone Consumer Protection Act. Your number and consent are never sold or shared for third-party marketing. Reply STOP at any time; we will continue to reach you by telephone and post exactly as before.
Cookies and Tracking Technologies
This site uses only cookies essential to its operation and may use privacy-respecting analytics. There is no advertising cookie, no cross-site tracking pixel and no retargeting on this site, and we do not intend to add any. Your browser may refuse cookies and the site will continue to work.
Data Security
We maintain administrative, technical and physical safeguards appropriate to the sensitivity of what we hold, including restricted access to medication lists and Medicare numbers, encryption in transit, and staff training. No method of internet transmission or electronic storage is entirely secure and we do not claim otherwise.
Your Privacy Rights
- Text messages — reply STOP at any time.
- Post and telephone — tell us your preference and we will use it.
- Access and correction — ask for a copy of what we hold, or ask us to correct it.
- Deletion — ask us to delete what we are not required to retain. Where CMS retention rules apply we will tell you plainly that we cannot.
- Do not sell — no sale or sharing for third-party marketing occurs, so there is nothing to opt out of.
- Revoke an authorisation — if you named someone who may speak for you, you may withdraw it in writing.
State rights, and where else to complain
Residents of Ohio, Kentucky, Indiana have rights under each state's insurance information practices laws. Where a state statute applies to us we honour those rights. You may also complain to your state department of insurance, or to 1-800-MEDICARE, about how we handled your information — and nothing in this policy limits that.
If you think your information has been misused, tell us and we will investigate. If it concerns Medicare fraud — someone billing in your name, or a call asking for your number — report it to 1-800-MEDICARE, which investigates and acts on these reports. You do not need our permission and you do not need to tell us first.
Data Retention
We retain client records for the period required by CMS and by the insurance regulations of Ohio, Kentucky, Indiana — for Medicare enrollments this is a defined retention period, currently 10 years, which is longer than most people expect and is not our choice. We keep your medication history so that each autumn's review is a comparison rather than a fresh start. Enquiry information that does not become a client relationship is deleted or anonymised when no longer needed.
Children's Privacy
Our services are intended for adults — in practice, for people approaching or already on Medicare — and we do not knowingly collect or solicit personal information from anyone under 18. Minors should not provide any personal information to us. If we learn that information from a minor has been collected inadvertently, we will delete it promptly.
Third-Party Websites
This website links to Medicare.gov, Social Security, State Health Insurance Assistance Programs and insurance company portals. We are not responsible for the privacy practices, content, data handling or security of any external website. Review their privacy policies before providing personal information.
Changes to This Privacy Policy
We may update this policy to reflect operational changes, legal requirements or improvements to our practices. The "Last reviewed" date will change, and where a change is material we will write to clients. Continued use of the site after an update constitutes acceptance.
